POSITION:                          TENANT RELATIONS OFFICER
CLOSING DATE:                Open Until Filled

Under the direction of the Lands Director, the Tenant Relations Officer is responsible for the tenancy agreements, collecting and recording rents, proper and updated records and condition of housing units, maintenance schedules as required and to address tenant issues and disputes as they happen.

Key Responsibilities

  • Explain the eligibility and application process to potential applicants.
  • Process and complete tenant applications, tenant agreements, rent calculation forms in a timely manner.
  • Determine eligibility of applicants through verification of income, check on arrears and references.
  • Set-up and monitor waiting list on prospective tenants.
  • Explain lease agreement as well as; council and instruct tenants on rights and obligations of both landlord and tenants responsibilities of tenancy.
  • Monitor payments of rent, living conditions and record occurrences to tenant files as required.
  • Complete annual home inspections.
  • Conduct additional inspections on units when required and advise tenants of violations and damages.
  • Process tenant move outs. Identify tenant damage, complete invoices to recover costs and/or complete damage deposit refund statements.
  • Negotiating contracts for repairs on units, working closely with contractors, plumbers, electricians, maintenance crew, etc.
  • Perform clerical duties, prepare correspondence, maintain files, and organize documents, etc.
  • Other duties as assigned and/or outlined in the job description.

Qualifications

  • High School Diploma or equivalent. Equivalent combination of education and experience may be considered.
  • Two (2) years’ experience or an equivalent combination of education and experience in property management.
  • Familiar with applicable legislation, acts and bylaws and able to communicate with Manitoba Residential Tenancy Branch.
  • Knowledge of First Nations political structures and communities.
  • Possess or quickly develop good negotiations and conflict resolution skills.
  • Demonstrated superior written and oral communication skills.
  • Demonstrated ability to perform duties in a confidential and ethical manner.
  • Ability to function effectively as a team member, demonstrating emotional stability and objectivity when dealing with challenging/changing work environments.
  • Ability to balance and prioritize multiple responsibilities while maintaining a keen sense of accuracy and attention to detail.
  • Strong organizational, problem solving, time management skills.
  • Excellent interpersonal skills.
  • Demonstrated ability to work independently with minimal supervision.
  • Experience utilizing a variety of computer applications, such as Microsoft Word, Excel, Outlook and database systems.
  • Knowledge of Indigenous culture, traditions and fluent in a First Nations language would be an asset.
  • Adhere to LPFN policies and procedures with specific attention to attendance, and professional ethics.
  • Must be able to work flexible hours and ability to travel upon request.
  • Must be in good physical and mental health.

Conditions of Employment

  • Valid Manitoba Class 5 Driver’s License and access to a reliable vehicle.
