POSITION:                          Digitization Clerk

DEPARTMENT:                  Finance

CLOSING DATE:                September 25, 2023 at 4 PM

Under the direction of the Finance Administrator the Digitization Clerk is responsible for assisting Long Plain First Nation (LPFN) in its effort to go paperless.

Key Responsibilities

  • File all payables for all government entities ensuring all required information is present.
  • Scanning and digitization – preparing records for digitization; separating a variety of records, preparing paper documents for digitization, removing staples, binding, and removing paperclips.
  • File uploading – performing quality control to ensure documents are scanned correctly with clear images and entered into our internal database.
  • After digitizing, file physical documents in our filing system or destroy as per policy.
  • Must be able to bend and lift filing boxes and folders continuously.
  • Ensure strict confidentiality of financial records.
  • Perform related clerical duties, including word processing, filing, faxing and photocopying.
  • Receptionist duties when needed.
  • Other duties as assigned and/or outlined in the job description.

Qualifications

  • Grade 12 Diploma or equivalent.
  • Equivalent combination of education and experience may be considered.
  • Minimum one (1) year office clerical experience in handling physical documents such
  • as photocopying and scanning documents.
  • Experience working within a First Nations community preferred.
  • Basic skills in business tools/applications/processes (e.g. word processing, e-mail, keyboarding, basic information management conventions).
  • Adhere to deadlines and have the ability to handle sensitive material in a confidential and professional manner.
  • Strong problem solving and organizational skills.
  • Ability to work independently and build effective relationships.
  • Sounds judgement, analytical and decision-making skills.
  • Must have proven ability to communicate effectively both orally and in writing.
  • Knowledge of Indigenous culture, traditions and fluent in a First Nations language would be an asset.
  • Ability to function effectively as a team member.
  • Work flexible hours.

Conditions of Employment

  • Valid Manitoba Class 5 Driver’s License and access to a reliable vehicle.
