POSITION SUMMARY: The Administrative Assistant will be responsible for providing a wide range of comprehensive administrative functions and support ensuring the efficient operation of Long Plain First Nation. We are seeking a skilled individual responsible for providing strong, reliable administrative support to the Tribal Administrator.
DUTIES INCLUDE:
- Must be able to follow, and take direction from the Supervisor, in which is the Tribal Administrator, and meet tasks and deadlines as requested.
- Perform a variety of administrative and clerical activities.
- Electronic filing & uphold electronic filing systems; as well as maintain electronic and paper filing systems.
- Attend to walk-ins, incoming calls, mail, fax and general office filing, scanning, mailing, arranging for couriers, etc. in a professional and courteous manner.
- Manage and coordinate multiple calendars.
- Work collaboratively with other team members and leadership.
- Type out various types of memos, letters, reports and correspondence upon request, and must be done in a efficient, effective, and time-sensitive manner.
- Record minutes of meeting upon request in a timely manner.
- Maintain and order inventory supplies by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
- Coordinate, book meetings, arrange/book the meeting spaces appropriately, as well as organize and set up events as per direction from the Tribal Administrator.
- Other duties as assigned.
QUALIFICATIONS:
- Graduate of a recognized business/office skills program or Administrative Assistant Certificate from a recognized college or technical institute.
- At least two (2) years’ experience in an administrative role.
- Equivalent combination of education and experience may be considered.
- Experience utilizing a variety of computer applications at an advanced level, such as Microsoft Word, Excel, Outlook, PowerPoint and database systems with demonstrated accuracy.
- Must hold a Valid Class 5 Driver’s License, and access to a reliable vehicle.
- Must be a punctual, reliable, hard-worker, with great attention to detail.
- Ability to effectively and efficiently handle multiple and complex tasks in a time-sensitive
- Must be able to travel as requested, and work flexible hours when needed and approved.
- Satisfactory Criminal Record Check, & Clear Child Abuse Check; receipts will be acceptable until originals are returned & submitted to HR.
